Automating quotes

Every quote is put together by hand, with prices that live in a different spreadsheet each time. Meanwhile, the customer has already asked someone else.

What the problem looks like

A price request comes in over WhatsApp or email. Someone opens the price list — this month's, if they can find it — copies the lines into a template, works out the discount in their head and sends the PDF. If the customer asks for a change, start over. If three days go by, they've bought elsewhere.

And when the sale closes, nobody knows which version of the quote was the right one.

What we build

A system that connects to your price list and your invoicing, and does what a person does by hand today:

  • Builds the quote with current prices, not the ones from two months ago.
  • Applies your rules: volume discounts, per-customer prices, products that go together.
  • Sends it through the channel the request came in on, and tells you when the customer opens it.
  • Keeps every version, so the one you invoice is the one that was accepted.
  • Turns the accepted quote into an order without retyping anything.

We don't ask you to switch software. Your systems stay; ours works around them.

A typical case

Picture a distributor that gets twenty price requests a day over WhatsApp. The system reads each one, builds the quote from the current list and answers in the same chat within minutes. The person who used to spend the morning in the template now reviews the ones that fall outside the norm.

How we start

With an assessment: we look at how you quote today, where the prices come from and where time is lost. You receive a written scope.
